Y.C.C.A. Committee Meeting 24th November 2008

1)      Correspondence: MG received an email from Phil Norfolk resigning from the committee.

2)      DB suggested that the minutes be made available more widely via the Yorkshire cyclo-cross website. Discussed and agreed.

3)      FR proposed that U12 Championships be held at the Thornes Park event and that, in view of the high numbers at recent events, the race be split into U12’s and U10’s. This was agreed. This would necessitate the purchase of two U10’s trophies. PM volunteered to do this, PT will take them to the event.

4)      The Bishop Burton event was confirmed as cancelled.

5)      PI reported that Chipps Chippendale (Editor of Singletrack Magazine) was keen to run an event in Todmorden. PI volunteered to liaise and assist. Suggested date 4th Jan. 2009.

6)      Dinner. JR proposed Rob Jebb as guest speaker. Accepted.

7)      JR reported that Dave Stevens has volunteered to provide a new trophy for the Vets. Points Series. Appreciation was expressed by the committee. MG to liaise.

8)      It was agreed that, in view of the cancellation of the Silcoates event, five of the seven races in the Points Series would count towards the championship.

9)      PS reported that the organisers of the Rydale Grand Prix premier road race had invited the organisation of a cross race at Duncan Park, Helmsley over the same weekend (7th June 2008).

10)   JR reported that British Cycling have invited Yorkshire to tender for a National Trophy race in the 2009/2010 season. After discussion this was accepted, with13th Dec. 2009 as the preferred date. JR to confirm with BC.

11)   CY reported on the Inter-Area Champs.

12)  CY and SB outlined the trip to Belgium (28th-30th Nov.) that they are organising to give three Juniors and three Youths international experience.

13)  NATIONAL CHAMPIONSHIPS

a)      JR reported that £250 sponsorship from aromatherapy company has been withdrawn.

b)      JR – Bradford Council have quoted the following prices for the items that they will provide: £900 for 300 barriers, £900 for two portacabins (JR to enquire about tables, chairs and a power source), £650 for eight mobile toilets, £850 for two security guards for three nights. Two water bowsers are to be provided and refilled between the two days of the event. Extra litter bins are to be provided. The cost of these services will be met by the Council out of the sum with which they have pledged to match our total in sponsorship.

c)      PA system. PS has received a quote of £500 for a full system from Compact Audio. Approved. PS to book.

d)     First Aid. PS has received a quote of £410 from the Civil Volunteer Organisation to provide an ambulance and two crew for the weekend. Approved. PS to book.

e)      Hurdles. ME e-mailed to say he has this in hand.

f)       Signage. Peter M and Paul M have this in hand.

g)      Catering. JR- café to open at 8.30am. JR to invite ‘Green Machine’ to provide catering. FR to do same for another caterer.

h)      Programmes. JR has been quoted £700 by Phoenix Printing for 1200 twelve page programmes to be produced before Christmas. Accepted. 500 to be supplied to BC, the remainder to be sold at event.

i)        Start/Finish banners. PS to confirm that he can provide these.

j)        Press. PI will provide Bradford Council press office with the press release he has produced. He will also ensure that the cycling press have all the relevant information. PI reported that ‘Look North’ have approached him with a view to doing a piece on the day(s) of the Champs. and also a preview piece. It was suggested that the Thornes Park event would be suitable, concentrating on the U12’s and emphasising the increase in participation.

k)      Stakes, tape and spray. PT and FR to confirm number of wooden stakes needed (900?) so that Paul M can provide estimate. Peter M to ask Paul M to obtain spray to mark route of course. PS to provide tape.

l)        Marshals. MG asked that committee encourage prospective volunteers to contact him as response to website request was not sufficient so far. PT provided map with location of marshals. Approx. 15 needed per day for course, with extra for car park and to supply BC with two ‘pit commissaires’. All volunteers to receive free hot drink/snack.

m)    Signing on. MG, SB and FR to ask respective wives to do signing on. At least one more volunteer needed for this.

n)      Stands. JR dealing with companies that might want these.

o)      U12’s. ‘Kudu’ and Paul Milnes to provide prizes.

p)      All committee members to provide brush/spade for cleaning mud from roads near pits etc..
